The App’s function is to provide employees of our client companies (“Employers”) with access to their pension fund data. In this relationship, your Employer is the Data Controller, and Providence Advisors acts as a Data Processor on their behalf. Our collection and use of data are governed by this Privacy Policy.

2. Information We Collect

We collect information essential to provide our services:

· Information You Provide Directly: Your login credentials (User ID and Password) and any updated personal contact information (e.g., mailing address, email, phone number) that you choose to provide.

· Information from Your Employer: To create and maintain your account, we receive necessary information from your Employer, including your initial contact details and specific fund data.

· Automatically Collected Information (Usage Data): We collect limited technical information about your device and interaction with our App, such as device type, operating system, IP address, and crash logs for troubleshooting, security, and performance improvement.

3. How We Use Your Information

Your information is used strictly for the following purposes:

· To Provide Core Services: To authenticate you, allow secure login, and display your fund data.

· To Update Employer Records: To transmit the contact information you update in the App directly to your Employer.

· To Maintain and Improve the App: To monitor performance, diagnose technical issues, and enhance the user experience.

· To Secure Your Account: To protect your account and our services from unauthorized access.

· To Communicate with You: To send important service-related notices.

4. How We Share Your Information

We do not sell your personal information. We only share it in these specific circumstances:

· With Your Employer: We share your updated contact details with your Employer as a core function of the App.

· With Third-Party Service Providers: We use third-party companies for services such as secure cloud hosting. These providers are contractually bound to protect your information and use it only for the services we’ve requested.

· For Legal and Security Reasons: We may disclose information if required by law or to protect our rights, your safety, or the safety of others.

5. Data Security

We are committed to protecting your information. We implement industry-standard security measures, including encryption and access controls, to prevent unauthorized access. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

6. Data Retention and Deletion

We retain your personal information for as long as your account is active or as needed to provide services to your Employer. We will also retain information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

Because your Employer is the Data Controller, any requests to delete your personal data or your account must be directed to your Employer’s HR or Benefits department. Upon receiving a verified request from your Employer, we will take steps to delete your information from our systems.

7. Your Rights and Choices

You have the right to access and update your contact information at any time through the App. For any questions, corrections, or access requests regarding your fund data, please contact your Employer directly, as they manage that information.

8. Children’s Privacy

Our services are not intended for or directed at individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that we have done so, we will take steps to delete it. If you believe that a child under 16 has provided us with personal information, please contact us immediately at info@providenceadvisors.net so that we may take appropriate action.

9. Governing Law

This Privacy Policy and any disputes related thereto shall be governed by and construed in accordance with the laws of the Commonwealth of the Bahamas, without regard to its conflict of laws principles.

10. Changes to This Privacy Policy

We may update this Privacy Policy. We will notify you of any significant changes by posting the new policy in the App or by other means. We encourage you to review this policy periodically. The “Last Updated” date indicates when it was last revised.

11. Cross-Border Data Transfers and Processing

Your information may be stored or processed in countries outside The Bahamas. In such cases, we ensure adequate protections are in place to safeguard your data in accordance with applicable data protection laws.

12. Analytics and Tracking Technologies

We use analytics tools to help us understand how users interact with the App and to improve its performance and usability. These analytics tools may use identifiers such as device IDs or IP addresses to generate aggregate usage statistics but do not collect personal information beyond what is necessary for performance monitoring and improvement. No data is used to track your usage across other apps or websites.
